Why Stillness Matters in High-Performance Teams

In my experience, the most competitive advantage is speed. There are advantages to increasing the current rate of decision-making (making a quick decision) as well as the current rate of executing work activities (having the most meetings in one day). Teams that seem busy seem productive; teams with lots of meetings seem important.

When I look back over time, I’ve come to see that not every high performing team is also a high volume team. In fact, I’ve learned that many of the highest performing teams that I’ve worked with have been some of the calmest teams. This calmness was not a result of complacency—it was a result of stillness.

The Myth of Constant Momentum

Stillness is often misinterpreted to mean a lack of energy. In performance environments, we tend to think of stillness as synonymous with slowness, a lack of urgency, and reduced ambition. This misbelief has contributed to our tendency to avoid stillness in favour of filling this space with each other's energy through more meetings, Slack messages, dashboards, and opinions. Silence is often an uneasy place for us to be.

Over my years of experience, I have come to realise that teams that don't slow down will inevitably find themselves operating off course. They are continually moving, although their momentum may not always be in a forward direction.

My First Encounter With Productive Stillness

I once attended a leadership retreat that had no agenda, no continuous presentations, and no interruptions during the day. At first, we thought this was a waste of time (which was the first thing that most people thought). After a while, however, something interesting began to happen – everyone began:

  • To think before they talked
  • To listen rather than react
  • To ask better questions.

The room felt "quiet" yet "sharper" than before. So, I learned from that experience: Stillness does not destroy productivity; it improves it.

Why High-Performance Teams Need Silence

From an individual perspective, stillness helps team members in three Key Ways:

1. A decrease in Noise

When everything is perceived as urgent, nothing should be given priority. Stillness offers a period of clarity that allows room:

  • To elicit information
  • To differentiate the signal from the noise
  • To identify commonalities among issues and eliminate unnecessary distractions

High-level team functions are not just about being faster at "doing" things, but more importantly at "thinking" more effectively.

2. The improvement of Decision Quality

I have witnessed numerous teams make rushed decisions simply to maintain momentum. However, when teams have the opportunity to reflect, they are better able to:

  • Evaluate potential hazards
  • Weigh potential options
  • Ensure that they are aligned prior to taking action

The most effective decision-making I experienced resulted from reflection following the conclusion of a meeting.

3. The establishment of Psychological Safety

In quiet situations, introverts receive "space" to contribute information, and those who prefer to think are given time to reflect before responding. Additionally, not having the immediate need to respond allows individuals to concentrate on adding quality comments and not just making a quick reply. This ultimately results in increased trust between team members.

Stillness Is Not the Absence of Action

This is significant.

A pause does not denote:

  • Lowered expectations
  • Reduced accountability
  • Slower processes

A pause refers to a deliberate pause between actions. It is similar to how sprinters breathe between races. High-performing teams will not continuously run. They take the time to set their own paces.

Leadership Travel Taught Me This

Many valuable insights about leadership were learned away from the boardroom. They came from:

  • Quiet travel
  • Long periods of time spent in the car without phones
  • Places that are less stimulating

Stepping back from the constant stimulation of leadership allows you to change your perspective on the challenges, and your priorities will become clearer. I've witnessed teams return from less stimulating environments having a stronger sense of alignment. They had clarity of thought, and they returned with greater energy. The teams did not return with greater energy because they worked hard; rather, they returned with greater energy because they thought deeper.

Why Teams Need Calm Environments

High-pressure work environments are:

  • People talk (at a fast pace).
  • People are not as interested in taking time to think through and reflect.

However, calm (quiet) work environments create an opportunity for people to take time away from the demands of their workday, which allows them to think about their work, their strategies, and their goals.

When people take time to reflect, they will be able:

  • To formulate strategies and/or improve their existing strategies.
  • To develop empathy for their colleagues.
  • To engage in long-term thinking about their career paths.

Taking time to reflect and think critically about one's career path is not passive. It is a strategy.

The Cost of Ignoring Stillness

When team members don’t allow time for rest:

Performance appears strong until the stress of being under pressure increases.

The absolute best performing teams I have encountered have one thing in common: They respect silence.

Reframing Productivity

From my experience, productivity isn’t about:

  • Doing more
  • Talking more
  • Tracking more

It’s about:

  • Choosing better
  • Deciding smarter
  • Acting with clarity

And clarity often comes after stillness.

Why This Matters More Than Ever

Attention in today's always-on world is divided; context lost and reflection infrequent. High-performing teams do not require additional tools to be successful - rather, they require greater intentional pauses. Periods of stillness should not be considered a luxury but rather as a leadership quality to develop.

Final Reflection

It is my opinion that future high-performance teams will not be looking for bigger volume but, rather, will be looking for quieter environments.

When teams take time to pause & reflect on their thoughts & actions, they tend to: Produce More Thoughtfully Make Better Decisions Create Superior Products

The stillness that comes about by "pausing" will not stop teams from succeeding; on the contrary, it will provide them with a clear sense of direction. In today's world of fast-paced competitiveness, positioning is the true "edge."
